What Is B2B Data Verification? A Practical Guide

A contact record changing from unverified, with red and amber flags, to fully verified

Every sales and marketing plan rests on one assumption: that the people in your data are real, still in their jobs and reachable on the details you hold. Data verification is how you check that assumption before you spend time and money on it.

What data verification means

B2B data verification is the process of checking that the business contact and company details you hold are correct and current. It answers simple questions for every record: does this email address work, does this phone number reach this person, and does this person still have this job at this company?

Verification does not add new information. That is data enrichment. Verification tests what you already have and tells you what to keep, fix or remove.

Why B2B data goes bad so quickly

Business data decays faster than most teams expect. Estimates commonly put it at 20 to 30 percent of contact records every year.

  • People change jobs, get promoted or leave the workforce
  • Companies rebrand, merge or change their email domain
  • Phone numbers are reassigned when someone leaves
  • Typos and incomplete records come in through forms and imports

The fields worth verifying

Email address

Is it valid, risky or invalid? Bad addresses bounce and damage your sender reputation.

Phone number

Is it a real number, in the right format, and does it reach the contact rather than a switchboard?

Job title and employment

Is the person still at the company, and in the role you think?

Company details

Are the name, website, size, industry and location still correct?

Verification vs enrichment vs cleansing

ProcessWhat it doesWhen to use it
VerificationChecks existing details are correct and currentBefore campaigns, after imports, every quarter
EnrichmentAdds missing details such as direct dials or titlesWhen records are incomplete
CleansingFixes formats, merges duplicates, removes junkBefore migrations and as ongoing hygiene

How often to verify

  1. Before every large send or call campaign. Especially for any list you have not used in the last few weeks.
  2. After every import. Event lists, purchased lists and partner data should be checked before they mix with your CRM.
  3. Every quarter for your core CRM. Regular checks stop decay from building up unnoticed.

Verification tells you a contact is real. It does not give you permission to contact them. Make sure you have a lawful basis under laws such as GDPR and the DPDP Act, and respect opt-out requests.

Frequently asked questions

What is B2B data verification?
It is checking that the business emails, phone numbers, job titles and company details you hold are correct and current, so you only contact people who are really there.
Is data verification the same as data validation?
They overlap. Validation usually means checking a value is in the right format. Verification goes further and confirms the detail is real and belongs to the right person.
Can I verify data myself?
For emails, yes: tools such as Domailfix check addresses in seconds. For phone numbers, job titles and company details, researcher checks are usually more reliable.
How long does verification take?
Small lists can be checked the same day. Larger projects are scheduled based on size and the fields you need checked.
